Updates to Conference and 事件服务 Process

New requirements to reserve event space on campus

EMS, the space reservation system used by Conference and 事件服务, is undergoing several changes. These changes include the transition of EMS ownership to the Office of Information Technology.

Due to these changes, all 俄亥俄州 employees with current access to reserve Conference and 事件服务 spaces will need to 重新注册 to maintain access to reserve event spaces on campus. This is to ensure appropriate access to event space reservations, including reservations in Baker University Center, 沃尔特圆形大厅, Galbreath Chapel or outdoor event spaces.

To complete the re-registration process, submit a service request and include the Oracle Account Number and a list of no more than TEN individuals from the unit with permission to reserve event spaces. The request should be completed by a budget authority. Please be aware that only faculty and full-time staff will be granted access to reserve spaces. Students are no longer able to reserve spaces on behalf of University Departments. (Student Organization leadership will be contacted in separate communications regarding these changes. Student Organizations will NOT need to 重新注册 at this link.)

Please note the following dates:

Wednesday, March 20, 2024 - Opening Day for Fall Semester 2024 Conference & 事件服务 spaces (Fall Semester 2024 dates include August 12, 2024 - December 23, 2024)

Wednesday, September 18, 2024 - Opening Day for Spring Semester 2025 Conference & 事件服务 spaces (Spring Semester 2025 dates include January 2, 2025 - August 10, 2025)

Opening Day Dates for Fall Semester and Spring Semester Reservations

• Opening Day for Spring Semester 2025 is Wednesday, September 18, 2024 at 9am.
  • This will allow 俄亥俄州 student organizations and departments as well as external customers to make reservations for January 2, 2025 through August 10, 2025 at the following venues on the 雅典 Campus:
    • Baker University Center
    • 沃尔特圆形大厅
    • Galbreath Chapel
    • 前厅
    • 室外空间
  • The following spaces will be unavailable to reserve in EMS:
    • Memorial Auditorium
    • 纳尔逊共用
  • Opening day for Fall Semester 2024 is Wednesday, March 20, 2024 at 9am.
